How do you organise team chat channels so they stay readable?

Organise team chat channels around work that lasts, not people: one channel per team, project, client or alert stream, named with a consistent prefix. Default to public channels, keep side discussions in threads, pin what people need to find again, and send automated alerts to their own channels so human conversation isn't buried.

How should you name team chat channels?

Use a short prefix for each kind of channel so the sidebar sorts itself: team- for teams, proj- for projects, client- for clients, alerts- for automated streams. Keep names lower-case and specific: client-acme-website beats acme.

Give every channel a topic or purpose line that says what belongs there. When someone posts in the wrong place, the purpose line is the polite answer.

When should a channel be private?

Default to public. Public channels can be found and joined, which means fewer "can someone add me?" messages and fewer decisions made out of sight. Make a channel private when the content is genuinely restricted: HR, finance, a client who expects confidentiality, or an incident with sensitive details.

In Flaxxa Pulse, a private channel is visible only to its members, its messages never show up in anyone else's search, and a canvas attached to it is visible to the same people.

When should you use threads, DMs and @mentions?

01

Threads for replies

Answer a specific message in its thread, so the channel stays a list of topics.

02

DMs for one person

Use a direct message for something that concerns only you and one other person.

03

@mention to ask

Mention someone when you need them; @here or @channel only when everyone must see it now.

04

Follow, don't ping

Follow a thread you care about instead of asking to be tagged in it.

04 / 04

How do you stop alerts drowning the conversation?

Give each automated source its own channel, such as alerts-deploys or alerts-payments, and let people mute or join it as they need. Use pins for the runbook or the current status, and saved items or reminders for the messages you personally need to come back to.

In Flaxxa Pulse, incoming webhooks and workflows post as named bots, so it is always clear which message came from a system and which from a person.

Organising channels: common questions

Frequently asked questions

As many as there are distinct streams of work, and no more. Archive a channel when its project ends; an archived channel keeps its history but stops collecting new messages.
