What are sales pipeline stages, and how do you build a pipeline?

A sales pipeline is the set of stages a deal passes through from first contact to signed. Build one by listing the steps your buyers actually take, giving each stage a clear exit rule and a win probability, and reviewing stalled deals every week, so the board shows what is really going to close.

What is a sales pipeline?

A sales pipeline is a visual way to track open deals. Each column is a stage, each card is a deal, and moving a card to the next column records progress. Because every deal sits in exactly one stage, the pipeline doubles as a forecast: the value in each stage, multiplied by how likely deals in that stage are to close, tells you what to expect.

A pipeline is not the same as a funnel. The funnel counts how many leads drop out at each step; the pipeline is the working list of deals still in play.

What are typical sales pipeline stages?

01

New or contacted

The lead has been reached but not yet qualified.

02

Qualified

There is a real need, budget and a person who can decide.

03

Demo or proposal

You have shown the product or sent a proposal or quote.

04

Negotiation

Terms, price and timing are being agreed.

05

Won or lost

The deal is closed, with a reason recorded if it was lost.

How do you set win probabilities for each stage?

Start with an honest guess and correct it with history. A common starting point is low single figures for early stages, rising to most of the way for negotiation. After a few months, compare each stage's probability with the share of deals from that stage that actually closed, and adjust.

In Flaxxa CRM each stage carries a probability, and the forecast weights open deal values by it, so a better probability gives you a better forecast.

How do you spot stalled deals?

A deal that hasn't had a call, email or meeting logged for a while is at risk, even if its stage looks healthy. Set an idle threshold that fits your sales cycle and review flagged deals every week: either take a next step, or close them as lost so the pipeline stays honest.

Flaxxa CRM checks open deals every hour and marks a deal as rotting once it has gone longer than your workspace's threshold without activity. Rotting deals show on the board and can trigger an automation.

Usually five to seven. Fewer and the board says little; more and people stop moving cards. Each stage should mean a real step for the buyer.
