How does round-robin scheduling work for meetings?

Round-robin scheduling shares booked meetings across a team in turn. Everyone on the event type offers their free time on one booking link; when someone books, the meeting goes to the next free host in the rotation, so no one person gets every demo and no booking waits for someone to assign it.

What is round-robin scheduling?

Round-robin scheduling is a way of assigning meetings to a group of hosts one after another. The booker sees a single link and a single set of times, made from the combined availability of the team. Behind the page, each new booking goes to the host whose turn it is, as long as that host is free at the chosen time.

It is most common for sales demos, onboarding calls and support sessions, where the booker cares about the time, not the person.

How does a round-robin booking get assigned?

01

Combine availability

The booking page offers every time at least one host on the event type is free.

02

Pick the next host

When a slot is booked, the next host in the rotation who is free at that time takes it.

03

Apply priority and weight

Higher-priority hosts are tried first, and weighting lets some hosts take a bigger share.

04

Handle the overflow

If no one can take it, the booking waits in an unassigned queue for a teammate to claim.

What is the difference between round-robin and collective scheduling?

Round-robin needs one host per meeting and spreads meetings across the team. Collective scheduling needs every host at the same meeting, so the booking page shows only the times when all of them are free. Use round-robin for demos and support calls; use collective for interview panels and meetings that need a specialist and an account manager together.

Flaxxa Calendar also has group event types, where several bookers take seats in one session, such as a webinar-style demo or a class.

How do you set up round-robin in Flaxxa Calendar?

  • Create an event type and choose round-robin as its scheduling type.
  • Add the hosts. Each keeps their own schedule and connected calendar.
  • Set each host's priority and weight if some should take more meetings.
  • Or use a category: round-robin across members and whole teams, with self-claim from the unassigned queue.
  • Publish the event type on a booking page and share the one link.

Frequently asked questions

With equal weights, each host gets a similar share over time, limited only by when they are free. Weights and priorities let you skew it on purpose, for example towards senior reps.
