What is a shared inbox, and when does a team need one?

A shared inbox lets several people read and answer the same email address, such as support@ or sales@, from one place. Good shared inbox tools add assignment, internal notes and a warning when someone else is already replying, so every message gets one owner and one answer.

How does a shared inbox work?

The team address is connected once to a shared inbox tool. Every new message appears for everyone on the team. Someone assigns it, or takes it, and replies from the shared address, so the customer always hears from support@, not from a person's own mailbox.

Around that core, tools add internal comments on a conversation, rules that sort or assign mail automatically, reply templates, and reports on response times.

What is the difference between a shared inbox and a unified inbox?

A shared inbox is one address worked by many people. A unified inbox is many addresses read by one person. They solve different problems: a support team needs a shared inbox; a founder with three mailboxes needs a unified inbox.

Flaxxa Mails is a unified inbox. It doesn't offer shared team inboxes yet, so a team that needs assignment and internal notes on one address should look at a dedicated shared inbox tool.

Why not just use a Google Group or a shared password?

A Google Group or distribution list copies each message to everyone, but nothing shows who has picked it up, so mail gets answered twice or not at all. Sharing one mailbox password is worse: no record of who sent what, and the password has to change whenever someone leaves.

How do you choose a shared inbox tool?

Assignment

Every conversation should have a clear owner.

Internal notes

Discuss a reply next to the email instead of forwarding it around.

Collision warnings

A sign that a teammate is already viewing or replying.

Rules and templates

Sort mail automatically and answer common questions consistently.

Channels

Whether you need only email, or chat, SMS and WhatsApp in the same place.

Price per seat

Most shared inbox tools charge per person, so check the cost at your team's size.

FAQ

Shared inbox: common questions

Frequently asked questions

Gmail on its own offers delegated access and Google Groups, but not assignment or internal notes. Teams add a shared inbox tool that connects to the Gmail address and adds those features.
