How does a kanban board work, and how do you use one for team tasks?

A kanban board shows work as cards in columns, one column per stage, such as To do, In progress and Done. Each task is a card; as work moves on, the card moves right. The board shows at a glance what's waiting, what's in progress, what's stuck and what's finished.

What is a kanban board?

Kanban is a way of visualising work that started in manufacturing and spread to software and office teams. A kanban board has columns for the stages work passes through, and a card for each piece of work. Moving a card between columns is how you record progress.

The value is visibility. Instead of asking who is doing what, the team looks at the board: a crowded "In progress" column means too much started at once, and a busy "Blocked" column shows where help is needed.

How do you run a team's tasks on a kanban board?

01

One board per project

Keep each project's tasks on their own board so the columns mean the same thing for every card.

02

Give every card an owner

Assign each card and give it a due date, so the board shows who is on what and what's late.

03

Move cards as work moves

Drag a card to the next column when its state changes, not at the end of the week.

04

Clear the Blocked column

Treat blocked cards as the first thing to talk about, and finish work before starting more.

Which columns should a kanban board have?

Simple boards work best for most teams: To do, In progress and Done, plus a Blocked column for work that is waiting on something else. Teams with review steps sometimes add "In review", but every extra column is one more place for cards to stall.

Flaxxa Tasks uses four fixed columns, To do, In progress, Blocked and Done, so there is nothing to design before you start and every project's board reads the same way.

When is a list or calendar better than a board?

A board shows flow; it's weaker at dates. When the question is "what's due this week?", a list sorted by due date or a calendar answers faster. When the question is "what should I do today?", a Today view that pulls your tasks from every project is better than opening several boards.

That's why most task tools offer several views of the same tasks. In Flaxxa Tasks, every project can be switched between a list and a board, and your own work across projects shows in Today, Upcoming, My Tasks and the calendar.

Frequently asked questions

Yes. A board needs no training: everyone sees the same columns and moves their own cards. Keep the columns few and give every card an owner.
