What is task management software, and how is it different from project management?

Task management software is a shared to-do list with structure: it records each piece of work as a task with an owner, a due date and a status, groups tasks into projects, and reminds people before things slip. Project management software adds the planning layer on top, such as timelines, budgets and resource plans.

What does task management software do?

Task management software keeps track of the individual pieces of work a person or team has to do. Each task has a title and, usually, an assignee, a due date, a priority and a status such as To do or Done. Tasks are grouped into projects or lists so related work stays together.

Around that core, most tools add the jobs that stop work from slipping: reminders before a due date, comments on the task itself, subtasks for bigger pieces of work, and personal views such as "due today" that pull your tasks from every project into one place.

How is task management different from project management software?

The difference is scale. Task management is about getting individual pieces of work done: who does what, by when. Project management software covers the whole project: scope, schedules, timelines, budgets, resources and reporting across many projects.

Task tools are lighter and quicker to adopt, which is why small teams often prefer them. Project tools pay off when a team runs large, interdependent programmes that need Gantt charts, workload planning and portfolio reporting. Many teams sit in between and need a few project features, such as boards and dependencies, without the full planning layer.

Which task management features matter most?

Fast capture

If adding a task is slow, tasks end up on sticky notes. Look for one-line quick add.

List and board views

A list for scanning and sorting, a kanban board for seeing work move between stages.

Assignees

A clear owner on every task, and several owners when work is shared.

Due dates and reminders

Dates that notify the right person before the deadline, not after it.

Recurring tasks

Routine work that recreates itself, so nobody rebuilds the weekly task by hand.

Personal views

Today, Upcoming and My Tasks views that pull your work from every project.

How do you choose task management software for a small team?

Start with how much structure you need. A team of five rarely needs custom fields, workflow rules and timelines; it needs shared projects, assignees, a board and reminders that people actually read. Check how long it takes to add a task, because that decides whether the team keeps using the tool.

Then check the free plan's limits, how the price grows as you add people, whether tasks can have more than one assignee, how reminders are sent, and whether the tool sits alongside the other apps your team already uses.

Frequently asked questions

They overlap. A to-do list app is usually personal; task management software adds sharing, assignees, comments and team views so several people can work from the same list.
